1. Validate the supplier before sending money Use Alibaba, Global Sources or 1688 to shortlist factories, then verify business licenses, request a video call of the production line, and order a paid sample. Pay through trade assurance or escrow — never wire 100% upfront.
2. Negotiate the right Incoterm For first-time importers we recommend FOB (origin port) or DDP (delivered to your door). FOB gives you control over freight; DDP rolls duties and last mile into a single price.
3. Consolidate in China If you buy from several suppliers, ship everything to a Shenzhen, Yiwu or Shanghai warehouse where it gets weighed, photographed and consolidated into one container or LCL booking. This typically saves 20–35% versus shipping each box separately.
4. Choose the freight mode - Courier (door-to-door, 5–9 days): best for samples and orders under 100 kg. - Air freight (7–12 days): urgent or high-value cargo. - LCL ocean (35–45 days): cost-effective for 1–15 m³. - FCL ocean (35–45 days): full container, lowest unit cost.
5. Customs clearance in Colombia You will need RUT with importer activity, a registered SIA (customs broker), commercial invoice, packing list and certificate of origin (for tariff preferences). Buenaventura and Cartagena are the main entry points.
6. Pay duties and VAT Colombia applies an ad-valorem tariff (0–20% depending on HS code) plus 19% VAT on the CIF + tariff base. We cover this in detail in our taxes article.
7. Last mile Once nationalized, cargo is trucked to Bogotá, Medellín, Cali or your warehouse. Plan an extra 2–4 days for inland transport.
